Salary:

Synterex, Inc. is a consortium of highly experienced clinical development professionals specializing in medical writing, submission publishing, and clinical science and operations support. Synterex offers remote or on-site services, with a focus on providing clear, concise, accurate, and fully compliant documentation, from early drug development through post-approval. 

 

Synterex is seeking a detail-oriented, motivated, technology-savvy, and collaborative individual to help optimize our senior leadership team’s workflow as a virtual assistant. The virtual assistant will partner cross-functionally with other Synterex personnel, aiding with client program and relationship management and managing calendars.

 

Length of assignment: Permanent

Location: Hybrid; must be able to attend occasional client meetings on site as needed


Essential Duties & Responsibilities

 

  • Assists with managing client relationships, ensuring client needs are met and prospecting future opportunities
  • Answers emails and phone calls from customers
  • Makes travel arrangements
  • Schedules appointments
  • Make cold calls to generate leads from a provided spreadsheet
  • Creates content to post on the company’s social media channels
  • Prepares presentations according to instructions given
  • Optimizes the managers’ time by making sure that information flows between departments
  • Prospectively manages calendar conflicts
  • Assists with documentation of client projects
  • Supports management participation in accounting and finance processes
  • Analyzes administrative processes for potential areas of increased efficiency
  • Creates agendas and records meeting minutes
  • Ad-hoc requests as needed

 

Requirements

 

  • Exceptional attention to detail
  • Strong written and verbal communication
  • Associate’s Degree or Bachelor’s Degree preferred (or Virtual Assistant certification)
  • Over 2 years of experience in a Virtual Assistant role
  • Familiarity with latest workplace technologies, including VoIP, Office 365, online calendars, and desktop sharing; ability to learn new technologies efficiently with training
  • Working knowledge of spreadsheet and word-processing programs
  • Excellent multitasking, time management, and organizational skills
  • Ability to work with minimal supervision
  • Must have a reliable Internet connection
