About the Job

As our Office Coordinator, you will be responsible for general office administration and provide overall support to the entire office. In this role, you will perform a variety of tasks to ensure efficient operation, compliance, and implementation of all organizational procedures. You will also act as the liaison between departments and between locations.

Hours: Mon - Thurs: 6:00am-3:30pm, Fri: 8:00am-12:00pm

Responsibilities

1. Coordinating facility maintenance and repairs with outside contractors.

2. Creating and posting work schedules

3. Creating purchase requests for various materials and supplies

4. Participating in daily meetings and coordinating and distributing daily department reports via email.

5. Clean & organize the kitchens, load and unload dishwashers daily, and stock refrigerators. Organize and maintain safe and clean front desk and main copier areas by complying with procedures, rules, and regulations. Prepare and/or clean up main conference rooms before or after meetings. Monitor and order coffee and supplies and contact coffee vendors for service, as needed.

6. Assists the HR/Payroll Department with the following tasks:
  • Creating and maintaining personnel files in accordance with federal, state and company rules and regulations.
  • Reviewing all payroll hours for accuracy, correcting any discrepancies and meeting deadlines for bi-weekly payroll processing.
  • Assists with new hire orientation, benefit orientation, and HRIS data entry.
  • Works with the Bothell HR Generalist and HR Manager on employee relations issues.
  • Recruit, set up interviews, make offers, and fully onboard new hires. Assist with decision-making on internal promotions, and new job creation, and manage online postings.
  • Safety, conducts safety orientation, and assists in scheduling medical exams.
  • Providing customer service to employees by answering questions regarding policies and procedures and assisting in confidential personal matters.
7. Responsible for planning office events.

8. All other general administrative support as needed.

Qualifications:
  1. Previous experience with HR and/or recruiting.
  2. Intermediate to advanced computer skills, including, but not limited to, Microsoft Office and Excel
  3. Strong communication and computer skills
  4. Positive, outgoing personality with strong customer focus
  5. Ability to decipher caller and visitor needs
  6. Ability to multi-task while staying organized
