About the Role

Zerova Technologies USA is seeking a highly organized and tech-savvy Executive Assistant to support the President and help keep daily operations running smoothly across the U.S. organization. In this role, you will serve as a central point of coordinationhelping ensure communication flows clearly, information stays organized, and our Sales, Inside Sales, Technical Support, and Marketing teams remain aligned.

This position is ideal for someone who enjoys variety, works well with multiple teams, and thrives in a fast-moving environment. You wont carry the work of other departmentsyou will help keep everyone connected, prepared, and operating efficiently.

Responsibilities

Executive & Administrative Support

Manage daily administrative support to the President, including calendar management, scheduling, email prioritization, and document preparation.

Prepare reports, presentations, meeting materials, and follow-up summaries.

Maintain confidential files, documents, and organized file systems.

Ensure smooth communication and timely follow-ups on tasks and priorities.

Salesforce & Operational Support

  • Work within Salesforce to help maintain clean, accurate data through case updates, lead/opp entry, and basic admin tasks.
  • Generate reports, update dashboards, and support internal documentation needs.
  • Help organize product information, pricing sheets, and internal resources.
  • Provide light operational support to Sales and Inside Sales teamshelping keep information organized and customer activity aligned.

Cross-Department Support

Sales + Inside Sales

  • Assist with preparing quotes, collecting documents, and coordinating customer follow-ups.
  • Support pipeline tracking, data accuracy, and sales operations tasks.
  • Help maintain organize sales files, contracts, and customer information.

Technical Support

  • Assist with case tracking, documentation, and follow-up communication in Salesforce.
  • Help organize service files, resolution summaries, and part order documentation.
  • Keep internal service resources organized and accessible.

Marketing

  • Provide administrative support, including coordinating requests, organizing assets, and assisting with marketing documentation.

Qualifications

Required:

  • 3+ years of administrative, executive assistant, or office management experience.
  • Strong attention to detail and ability to anticipate needs.
  • Strong organizational, time-management, and communication skills.
  • Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word).
  • High comfort level with technology, business systems, and learning new tools quickly.
  • Ability to work with multiple teams and maintain a positive, solutions-focused approach.
  • Experience using Salesforce.
  • Ability to work on-site daily in Fremont, CA.
  • Professionalism, confidentiality, and reliability.

Preferred:

  • Experience in EV charging, manufacturing, or technology industries.
  • Experience assisting with marketing tasks or trade-show coordination.
  • Experience with Adobe Creative Suite.
