Key Responsibilities:
Venue Identification and Evaluation:
• Research and shortlist venues that meet the study’s criteria (location, size, accessibility, and infrastructure).
• Conduct site visits or virtual assessments to evaluate venue suitability.
Stakeholder Communication:
• Engage with venue owners, managers, and stakeholders to communicate the purpose and requirements of the study.
• Build and maintain positive relationships to ensure smooth collaboration.
Negotiation and Contracting:
• Negotiate rental agreements, terms, and conditions with venues.
• Ensure compliance with budgetary constraints and legal requirements.
Logistics Coordination:
• Coordinate logistical arrangements, including setup, utilities, parking, and accessibility for participants.
• Resolve any venue-related issues promptly during the study period.
• Documentation and Reporting:
• Maintain accurate records of all venues, agreements, and communications.
• Provide regular updates and reports to the research team on venue recruitment progress.
Compliance and Risk Management:
• Ensure all venues comply with safety, ethical, and regulatory standards.
• Identify and mitigate risks associated with venue usage.
Qualifications and Skills:
Education:
Bachelor’s degree in Event Management, Logistics, Business Administration, or a related field.(Preferred)
Experience:
• 2-4 years of experience in venue management, logistics coordination, or a similar role.
• Previous experience in research or events preferred.
Skills:
• Strong negotiation and interpersonal communication skills.
• Excellent organizational and multitasking abilities.
• Ability to work under tight deadlines and adapt to changing requirements.
• Proficiency in MS Office (Excel, Word, PowerPoint) and database management tools.
Other Requirements:
• Willingness to travel to venue locations, if needed.
• Availability during flexible hours based on project timelines.
